A polite reminder drafted for every overdue invoice

Every morning, your overdue invoices get a polite reminder drafted for you. Nothing is sent until you approve it, and it stops when the invoice is paid.

Why it matters

Chasing a late payment is awkward, so it slips: a week becomes a month and the invoice just sits there. This routine does the part you put off. Each morning it finds the invoices past their due date and drafts the reminder, so what is left for you is one decision: send it or not.

How it works

  1. 1 Finds overdue invoices
  2. 2 Drafts a polite reminder
  3. 3 Emails it once you approve

What you need

  • Connect your Stripe account and issue your invoices from Business Studio: they are paid into your own Stripe account.
  • A working email sender: an approved reminder is emailed from Business Studio’s sender, and the reply comes to you.
  • Turn on the “Chase unpaid invoices” template. Optional: pick a writing skill and the wording follows your voice.

What you get Illustrative example

  • Invoice F-014 · Atelier Laurent 4 days overdue · first reminder drafted · waiting for your OK
  • Invoice F-009 · Becker Labs 11 days overdue · second reminder, firmer · waiting for your OK
  • Invoice F-011 · Studio Nord paid yesterday · reminder closed, nothing sent

What it will not do

Questions

Does it email my customers by itself?
No. Each reminder is drafted and filed as a card on your board. Nothing is sent until you approve that card.
When do the reminders come?
The first is drafted 3 days after the due date, then 10 days and 20 days, a little firmer each time. Each one is approved separately.
What does my customer receive?
An email with your Stripe payment link. Once sent, it is also logged on that customer’s card, so you can see what went out.
What happens when the invoice is paid?
The reminders stop. A reminder that was drafted but not sent yet is closed instead of waiting for you.
Will it sound like me?
Only if you pick a writing skill: then the wording follows your voice. Without one the draft is generic, so read it before you approve.
I already have overdue invoices. What happens on the first run?
It files one card for every invoice that is already overdue, so expect a batch to review at first. None of them goes out until you approve it.
